Cash & Accounts Payable Administrator

Shared Responsibilities

Accounts Payable
  • Invoice Processing: Receive, review, and process invoices for payment within 2 working days of receipt. Actively challenge departments to ensure any discrepancies are resolved.
  • Purchase Order Database Management: Periodic house-keeping of the PO database
  • Workflow Management: Ensure all workflows and query logs are maintained and resolved within agreed timescales. Managing and monitoring of budget holders to ensure prompt invoice coding/approval.
  • Payment Management: Prepare and execute payment runs, ensuring only approved are settled and all payments are made on time.
  • Vendor Processing: Oversee the creation and maintenance of new vendor accounts.
  • Vendor Relations: Communicate and maintain relations with vendors to address and resolve any payment issues, including supplier statement reconciliations.
  • Expenses & Credit Cards: Checking and processing of staff expenses and credit cards.
  • Customer Refunds: Administering customer refunds.
  • Audit Support: Assist with internal and external audits by providing necessary documentation and explanations.
Banking (primarily as cover for Cash and Accounts Payable Controller)
  • Cash Book Management: Maintain and update the cash book, recording all cash transactions accurately.
  • Reconciliation: Reconcile cash book entries with bank statements

Key Skills / Qualification Requirements

  • Attention to Detail: High level of accuracy in processing financial information.
  • Organisational Skills: Ability to manage multiple tasks and deadlines efficiently and work on own initiative.
  • Communication Skills: Strong verbal and written communication skills
  • Technical Proficiency: Familiarity with accounting software and Microsoft Office Suite, especially Excel and Outlook.
  • Problem-Solving: Ability to identify and resolve issues
  • Maturity: Reliable and responsible

Typical Qualifications

  • Examinations: GCSE Maths and English, with A-level standard or equivalent level of education beneficial
  • Certifications: Either part qualified AAT (Association of Accounting Technicians) or keen to progress an AAT qualification would be advantageous
  • Experience: Proven experience of accounting, purchase ledger and bank reconciliations would be beneficial
